Describe the move beyond the number of desks
Count workstations, chairs, cupboards, meeting-room furniture, storage and equipment. Identify fragile, heavy or unusual items and say which furniture needs dismantling and reassembly. Attach photographs or a room-by-room inventory to the secured requirement.
Agree IT responsibilities separately: disconnecting, moving, reconnecting and testing equipment can involve different people. Do not assume that a removal quotation includes specialist IT work.
- Inventory and destination area for each item group
- Packing, crates, labelling and unpacking responsibilities
- Furniture dismantling and reassembly requirements
- Equipment needing specialist handling or separate support
Confirm access at both premises
Record floors, lift dimensions and booking arrangements, stairs, loading bays, parking and the distance goods must be carried. Check building-management access windows and who will provide keys or meet the crew.
If the inventory or access is uncertain, request a survey before treating a price as final. Record the survey findings and any changes to the job scope in the shared movement record.
Choose a move pattern that fits the business
One planned move
Relocate the agreed inventory in a defined window with named contacts at both sites.
Phased relocation
Move teams or areas in stages and specify what must remain operational between phases.
Overnight or weekend
Confirm crew availability, building access and any extra cost before agreeing out-of-hours work.
